What data we hold and how we collect it
Scottish Ballet collects data through three main channels:
- We have reciprocal Data Sharing Agreements with some of the venues we tour to meaning they may send us data about our ticket buyers when consent has been given by the buyer to do so. They may also provide anonymised data which we will only use for analysis purposes.
- When we are selling on behalf of touring venues you will be given the choice to opt-in to receive future communications from those venues. We may also share basic contact information (name, email address, date and time of booking) with them to enable them to administer your purchase, or notify you about changes to a performance or event. When this is the case will make this clear to you at the point of booking.
- If you sign up to become a Free Friend or pay for a product or service through our website then we will collect the data necessary to complete the transaction. This data can include but is not limited to; name, postal address, email address, phone number, payment details (note that this information will not be stored by the website or our ticketing system) and on occasion special category data such as medical information. All information collected through our website is done so by the data subject filling in an online form. You can change these permissions at any time by unsubscribing via one of our marketing emails, or by updating your contact permission preferences in your account.
Additional data we may hold
Medical data is collected when a participant signs up for our dance classes and workshops. It is necessary that we are aware of emergency contact details and any health requirements so that our teachers can make your experience as safe as possible. This data is kept on record in accordance with our retention schedule. We will always ask for this data at the point of purchase, even if you have been a student with us before. This ensures we have the most accurate and up to date information possible, this is done in the interest of your health and safety. Other kinds of data we may gather includes still or moving images of participants.
How we process and handle the personal data we hold
The main way in which we will process the data we hold is to use it to keep in touch with you. This may be under the legal basis of consent when it relates to direct marketing communications or it may be under legitimate interest when we are contacting you about a purchase made for a product or service.
We also use the contents of our database to conduct analysis that allow us to track trends in our audiences, this kind of analysis is all done using anonymised data.
In order to ensure that our fundraising is appropriate, respectful, efficient and effective, we tailor our approaches to different people in different ways. We use information you have given us to help us decide how best to do this. For a small number of people, and where we believe there is a legitimate interest, we may undertake additional research using publicly available information in order to create a profile of your philanthropic interests, employment history, wealth/assets, and capacity to give. This information is collected from public registers (Companies House, the Charity Commission and OSCR), biographical records like Who’s Who, published news articles (including ‘Rich Lists’), and official company and charity websites; we may use specialist researchers to undertake these activities on our behalf. This provides Scottish Ballet with a better understanding of our current and prospective supporters, and allows us to ensure that proactive requests for gifts are directed to only those whom we believe may be able and willing to give.
You are welcome to opt out of this or any other data processing by using the contact details below. All data held by Scottish Ballet is done securely and access has been restricted to only those who require it. In those cases where data is passed on to third parties, e.g. a researcher, we ensure all third parties uphold the same standards of data protection that we do.
We use the following third parties to process data on occasion;
- For fulfilment of contract: services such as our ticketing system Tessitura and our email service Wordfly
- Independent Researchers
- Legitimate business interest: we use Bright Signals for our digital marketing campaigns and we may share information on those who have already bought tickets to a show to prevent you from seeing adverts that are no longer relevant
- Third party data services such as Experian, who help us to ensure your data is as up to date as possible
- Mailing houses to fulfil postal communications
- Purple Seven, which we use for audience insights and analytics
- Tessitura Merchant Services and Adyen, who process our card payments online, in person and over the phone
- HRMC for information related to Gift Aid declarations
We may on occasion reach out to third parties to help us conduct research into our audiences, they may be granted access your data through the theatres from which the tickets were bought, this data would be fully anonymised and we would only ever see the results of the research.
